Viewing versions of a file - user

Each time a file is modified PilatusBox creates a copy of the file. These copies are called versions. For each file, you can view the old versions of the file, download the contents of each version, and make an old version of a file into the current one.

PilatusBox provides these details for each version of a file:

  • The date when the version was created
  • The operation that led to the new version (for example, created, deleted, or modified)
  • The name of the user who made the change
  • The size of the version
  • For the current version, the current version icon ()

Considerations

  • PilatusBox keeps a limited number of versions per file and does not keep each version indefinitely. The number of versions that are kept and the amount of time a version is kept for depends on your organization's PilatusBox settings. When a version grows too old or a file has too many versions, PilatusBox permanently deletes the old versions of the file. You can no longer restore or view the contents of versions that the system has deleted.
  • Moving or renaming a file in PilatusBox does not version the file. Instead, an entirely new copy of the file is created and the original copy becomes a deleted file.
  • The new copy is essentially a new file and has no old versions. The original copy of the file is deleted from all your PilatusBox applications and is only accessible by viewing deleted files in the User Portal. This deleted copy of the file keeps all of its old versions.

Procedure

  1. In the row of a file, click the overflow icon ().
  2. In the menu, click Show file history.

Result

The History window appears. The History window lists all the available versions of the file.
